Records Management
This service provides school districts with assistance in more efficient and cost-effective management of the ever-increasing production and retention of records. Depending on a district’s specific needs, services may include the following:

  • Grant writing for inventory/planning, microfilming, archival arrangement and description, inactive records storage projects, etc.
  • Administration and implementation of specific records management grants
  • and projects.
  • Microfilming of long-term and permanent district records.
  • Cooperative off-site storage of microfilm camera negatives.
  • Periodic records inventory updates.
  • Annual survey and preparation of “obsolete” records for annual destruction.
  • Conversion (scanning) of existing microfilm to CD format.
    Please note that CD storage does NOT replace microfilm, which remains the only permanent storage medium for records. Digital storage is hardware and software dependent. However, conversion of microfilm to a digital format provides faster digital access to records that are dependent on nothing but the user’s computer. The CD will last several years and when advancing technology makes the CD unusable the microfilm can be rescanned to meet existing technology needs.
